Administrative Assistant, Part TIME

Looking for a Front Desk Support, Part Time, 4-16 hours a week

We are a small, yet busy, supportive care cancer clinic that offers personalized care.

CHARACTERISTICS we are looking for:

SKILLS we are looking for:

  • Proficient in using a mac, IPAD and iphone.

  • Proficient in using Google business services: email, calendar function, drive storage

  • Proficient in using Square, Squarespace and Facebook

  • Competent in Excel, MS Word, Zoom or other telehealth like Teladoc

  • Familiar with an EMR for scheduling and billing like Simple Practice

RESPONSIBILITIES:

  • Supporting daily operations

    • Schedule and Coordinate Patients

    • Schedule and Coordinate Clinicians

    • Manage Patient Electronic Medical Records 

    • Record and Update Patients’ personal and financial information

    • Communicate referrals with clinicians in house and off site

    • Communicate with Patients with high level needs 

    • Do outreach through letters and educational materials with other clinicians

    • Recruit for, schedule, promote and manage speaking opportunities.

    • Manage staffing issues: timesheets, training, compliance

    • Post on social media for all events 4-5 times a week

    • Send out email blasts on practice issues and education

    • Coordinate and take notes for Team Meetings; Journal Club; Clinical collab

We are offering:

  • Days: 5

  • Hours: 

    • Flexible 4-16 hours

    • Start of day needs to be somewhere between 8 and 9:30 am

    • End of day needs to be between 4:30 and 6:30 pm.

QUALIFICATIONS:

No experience in cancer required but must have 3+ years in administrative capacity.

Associates degree preferred but experience can replace education.

Proven customer service skills

Strong organizational and leadership skills

Healthy emotionally, physically and relationally.
